Shelflist and Inventory Project
The purpose is this project is to take a "physical" inventory of the shelves and check that against what Consuls says should be on the shelf. The result of the inventory will identify missing items, misshelved items and give us a reasonably good indicator as to the state of the collection.
Personnel
Russ is coordinating all the memebers of the team and identifying what areas of the collection are to be inventoried. Brian is respnsible for the "mechanics" of the project.
Outline of the Process
Barcode Reader
The Percon barreader is used to caputure the barcodes taken during the physical inventory. Using the reader is relatively simple:
- Turn it on (green button);
- Press F4 to show menu choices;
- Select the Inventory choice;
- Wand barcodes into the machine;
- Turn off the machine when done;
The reader will store the list of codes which will then be transfered to the "black" PC behind the circ desk. After transfering the file from the reader to the PC it will be transfered to Consuls for processing.
Transfering file from Barcode Reader to PC
- Log into PC and start the Transfer program (located on the desktop;
- From the XXX menu choose "connect";
- From the File menu choose "receive";
- Input the name for the file to be transfered.
- Turn on the Barcode Reader and choose the "send file to PC" option
- After hitting the transfer button the file will be transfered to the PC and the Transfer program will
indicate that indeed the file did get transfered
Transfering the file from the PC to Consuls
- Launch the FTP program (located on the desktop);
- Lanuch the terminal program and login to Consuls;
- Choose the circ subsystem / Process PC transactions;
- Choose transfer file with "IFTS";
- Machine name is 149.152.216.208;
- user name is "circ";
- password is "comegetit";
- Select the number of the file that you just transfered from the barcode reader;
- Select "t" for transfer and wait this takes some time;
- After some time the machine will indicate that the file was transfer;
- Select "c" for continue;
- Exit from Consuls as normal;
Processing Inventory Files
This has yet to be determined. We need to look at the documentation to see what can be done.

Russ asked me about if saving files and if we needed to join files to process them. The main criteria is that the starting call number be less than the ending call number. To assure this I would recommend naming files with the date like: YYYY-MM-DD . This will assure that they sort correctly. If you are doing a collection (like videos) you may want to append the collection name to the date.
